CIS Connect Privacy Policy

This Privacy Policy describes our practices regarding information handling for the CIS Connect mobile application (the Service). It is designed for use by first responders in the field. The Service processes only the minimum information required to provide safety-critical features. We do not collect, store, sell, or repurpose data for analytics, marketing, or any secondary purpose.

Interpretation and Definitions

Interpretation

Capitalized words have meanings defined below. The same definitions apply whether the terms appear in singular or plural.

Definitions

  • Account means a unique account created for you to access the Service or parts of the Service.
  • Application refers to CIS Connect, the software program provided by the Company.
  • Company (referred to as either “the Company”, “we”, “us” or “our” in this Agreement) refers to Computer Information Systems, Inc., 600 Central Avenue Suite 249, Highland Park, IL 60035.
  • Device means any device that can access the Service such as a smartphone or tablet.
  • Personal Data means any information that relates to an identified or identifiable individual.
  • Service refers to the Application.
  • You means the individual using the Service, or the organization on whose behalf the Service is used, as applicable.

Collecting and Using Your Information

Our Data-Minimization Commitment

We minimize the collection and storage of Personal Data. The only information CIS stores from the Application is Automatic Vehicle Location (AVL) data (device-reported latitude/longitude and timestamps) in secure logs for safety purposes only. This enables your agency to identify the last known location of responders in the field. We do not use AVL logs (or any other data) for analytics, marketing, product metrics, or profiling. We do not sell or share user data.

Location Information (Real-Time and Logged AVL for Safety)

To support responder safety features (for example, showing your live position to command or triggering safety workflows), the Application accesses your real-time device location via your Device’s location services while you are logged in and actively using those features.

  • Location is processed in real time to deliver the safety features.
  • AVL data is written to CIS logs and retained solely to enable your organization to identify the last known location of responders and support safety-related operations.
  • When you log out or terminate the Application, real-time processing stops. AVL entries created during your session remain in the logs for the safety purposes stated above.
  • AVL logs are not repurposed for analytics, marketing, or product metrics, and are not sold or shared with third parties.

Other than AVL logs needed for the safety purposes described above, the Service does not collect Personal Data.

No Usage Analytics, Advertising, or Tracking

  • We do not use third-party analytics SDKs or advertising identifiers.
  • We do not collect IP addresses, device identifiers, crash analytics, or similar diagnostic telemetry for profiling or metrics. If the operating system or app store platform generates crash reports outside our control, we do not combine or repurpose such data.

Communications

We may send essential service communications (e.g., operational alerts or security notices) strictly to operate or secure the Service. We do not send marketing communications from the Application.

Use of Your Information

We use real-time location information and AVL logs only to provide and maintain safety-related features within the Service, including “last known location” visibility for authorized customer personnel. No other use is made of your information.

Retention of Your Information

AVL logs are retained only for as long as necessary to fulfill the safety purpose described above and to meet customer agreements and applicable law. When the purpose or legal requirement no longer applies, AVL entries are securely deleted. We do not retain other Personal Data beyond transient processing needed to operate the Service.

Transfer of Your Information

AVL logs may be stored in CIS-controlled infrastructure (for example, cloud hosting providers) and processed in the United States. Real-time signals and log entries necessary to deliver the feature may traverse infrastructure providers (e.g., network carriers or cloud transport). We do not share AVL logs with third parties for marketing, analytics, or advertising purposes.

Delete Your Personal Data

We maintain AVL logs for the safety purpose described above. Requests to delete AVL entries will be honored where permitted by customer agreements and applicable law. If you believe any information has been retained in error, or you wish to request deletion where allowed, please contact us so we can investigate and remediate.

Disclosure of Your Information

We do not sell, share, or disclose Personal Data. If required by applicable law, court order, or lawful request from public authorities, we may be obligated to disclose information we have at that moment. Given our design, we ordinarily do not hold retained Personal Data to disclose.

Security of Your Information

We implement administrative, technical, and organizational measures aligned to our data-minimization approach. While no method of electronic transmission is 100% secure, our
design avoids long-term storage of Personal Data and limits processing to real-time needs to reduce risk exposure.

Children’s Privacy

The Service is not directed to children under 13, and we do not knowingly collect personal information from children.

Links to Other Websites

The Service may reference external resources (e.g., documentation). We are not responsible for the privacy practices of external sites. Review their privacy policies when you visit them.

Changes to This Privacy Policy

We may update this Privacy Policy to reflect operational or legal changes. We will post updates in the Application and update the “Last updated” date above. Changes take effect upon posting.
